How do we back up multiple Macs across the team on one plan?
All Capsule Backup plans include unlimited devices. Each Mac mounts the same SMB volume and Time Machine creates a separate .backupbundle per machine on the shared storage. There is no admin console to install — onboarding a new team member is the same five-minute setup as any individual user.
Are we GDPR compliant if we use Capsule Backup?
Yes. Capsule Backup is operated by ODYSSEE EURL (Nantes, France) under EU jurisdiction, and you can choose to host your backups in Germany or Finland to keep data inside the EU. The DPO contact is support@capsulebackup.com. Time Machine encryption gives you provable encryption-at-rest with keys you control, which simplifies the records-of-processing documentation for sensitive workloads.
Can we restrict access to specific office IPs?
Yes — IP whitelisting is available in beta via support@capsulebackup.com. Provide the static public IPs you want to allow (typically your office gateway and any VPN exit IPs) and we apply the rule to your account. For roaming employees, every plan includes WireGuard or OpenVPN access so devices outside whitelisted ranges connect via VPN first.
What happens when an employee leaves?
Two clean options: (1) keep the Mac's historical backup volume in place and remove the SMB credentials so the device cannot connect anymore — useful for compliance retention; or (2) request deletion of that .backupbundle via support, which we wipe using the same DoD 5220.22-M 3-pass standard we apply on full account closure. Other team members' backups on the same plan are unaffected.
How do we estimate the right storage tier for a team?
Most knowledge-worker Macs use 100–300 GB of actual snapshot space (system + user data minus excluded caches), and Time Machine's incremental history adds roughly 1.5×–2× the live size over the first year. As a rule of thumb: under 5 Macs → Pro 5 TB ($35/mo), 5–15 Macs → Studio 10 TB ($65/mo). Above that, contact support for a custom plan.
Can finance get a single invoice and manage billing centrally?
Yes. Subscriptions are billed through Stripe — finance receives a monthly or annual invoice, can update payment methods, download VAT-compliant receipts, and manage everything from the Stripe customer portal. One billing line for the whole Mac team.
